Cancellation & Refund Policy

Important: When you book a campground through CamperWatch, your reservation agreement is directly with the campground owner — not with CamperWatch. CamperWatch is a technology platform that facilitates the transaction. Cancellation and refund terms are set by each individual owner and displayed at checkout before you pay. CamperWatch is not a party to your reservation and does not issue refunds from its own funds.

The owner's cancellation policy governs

Each campground owner sets their own cancellation policy. That policy is displayed on the campground listing page and again at checkout before you confirm payment. By completing a booking you acknowledge and accept the cancellation policy in effect at the time of booking.

If an owner has not set a custom policy, the following default terms apply. These default terms are provided as a template — they represent the agreement between you and the owner, not a commitment from CamperWatch.

Full refund— cancel 14+ days before check-in

100% of the booking total is refunded to your original payment method. Note: Stripe's payment processing fees (2.9% + $0.30) are not recovered by CamperWatch and may or may not be returned depending on Stripe's policies at the time.

50% refund— cancel 7–13 days before check-in

50% of the booking total is refunded to you. The remaining 50% is retained by the owner to cover the lost booking opportunity. This is the owner's revenue — CamperWatch does not retain any portion of the non-refunded amount beyond its standard 5% commission already deducted from the owner's payout.

No refund— cancel less than 7 days before check-in

No refund is issued. The full booking amount is retained by the owner. CamperWatch's 5% commission is deducted from the owner's payout — campers are not charged any platform fee separate from the listed price.

How to cancel a booking

    Log in to your CamperWatch account

    Go to your profile and select "My Bookings"

    Find the booking and click "Cancel booking"

    You will see the refund amount (per the owner's policy) before confirming

    If a refund applies, it is returned to your original payment method. Stripe's standard processing time is 5–10 business days.

If you cannot cancel through the platform, email info@camperwatch.org with your booking reference. We will notify the owner and process any applicable refund per their policy.

If the owner cancels your booking

If a campground owner cancels a confirmed booking, you are entitled to a full refund of the amount you paid. CamperWatch will process the refund through Stripe upon confirmation of the owner-initiated cancellation. Stripe's standard processing time of 5–10 business days applies.

CamperWatch is not responsible for costs beyond the booking amount — including travel, accommodation, or other expenses you may have incurred in reliance on the booking. Any claim for consequential damages is between you and the owner.

What CamperWatch does not do

  • CamperWatch does not issue refunds from its own funds. Refunds come from booking proceeds held by Stripe prior to payout to the owner.
  • CamperWatch does not override an owner's cancellation policy on your behalf.
  • CamperWatch does not guarantee any particular refund outcome from a dispute between you and an owner.
  • CamperWatch does not act as an insurer, guarantor, or underwriter of any booking.
  • CamperWatch does not accept responsibility for bad weather, road closures, personal emergencies, or other circumstances outside the owner's control.

For campground owners

You set your own cancellation policy in your owner dashboard. Whatever policy you set will be displayed to campers at checkout and is binding on both parties once a booking is confirmed. You cannot retroactively apply a stricter policy to existing confirmed bookings.

When a refund is due under your policy, it is deducted from the booking proceeds before Stripe pays out to you. If the booking has already been paid out and a refund is subsequently required, CamperWatch will contact you to arrange recovery of the refund amount directly.

CamperWatch's 5% commission is deducted from your payout on every booking. On cancellations where the camper receives a full refund, the 5% commission is also returned — CamperWatch does not retain a commission on fully refunded bookings. On partial refunds, the commission is recalculated on the amount the owner retains.

Federal campgrounds (Recreation.gov)

Federal campground pages on CamperWatch link to Recreation.gov for booking. Recreation.gov's own cancellation and refund policy applies to those reservations — this policy does not. CamperWatch has no involvement in Recreation.gov bookings, payments, or refunds.

Pyramid Lake tribal recreation permits

Tribal recreation permits are governed by the Pyramid Lake Paiute Tribe's own permit policies and are entirely separate from CamperWatch bookings. CamperWatch cannot refund tribal permits. Contact the Pyramid Lake Realty Department at (775) 575-2185 or prealty@plpt.nsn.us.
